Working with general journals in Business Central
General journals in Business Central are where you post entries that do not come from a sales or purchase document. Think of accruals, corrections, opening balances, payroll summaries and transfers between accounts. You enter lines in a batch, check that they balance, preview the result and post. This guide walks through each step and the settings behind them.

What general journals in Business Central are for
Documents create most ledger entries. Journals cover the rest. Typical uses are month-end accruals and prepayments, depreciation adjustments and moving an amount booked to the wrong account. You also use them to record a payroll summary from an outside provider, and to load opening balances when a company first goes live.
A journal line can post to a G/L account, a customer, a vendor, a bank account, a fixed asset or an employee. You choose that in the Account Type field. This flexibility is powerful, so it needs controls. Limit permissions and use separate batches for each purpose. In many companies, add an approval step before posting.

Templates and batches in general journals in Business Central
Journals work on two levels. A template defines the type of journal and how it behaves, such as General, Cash Receipts or Payments. It also says whether each document number must balance. Under each template sit batches, which are separate worksheets. Create batches by purpose or by person, for example ACCRUALS and PAYROLL.
On the General Journal Batches page, each batch can have its own number series, a default balancing account and a reason code. It can also use the Copy to Posted Jnl. Lines option, which keeps a copy of what you posted for later reuse. Open a batch with Edit Journal, or switch batches from the Batch Name field.

Entering lines in general journals in Business Central
Search for General Journals and pick the batch. On each line, enter the Posting Date, Document No., Account Type, Account No., Description and Amount. Positive amounts are debits and negative amounts are credits. Choose Show More Columns if you prefer separate debit and credit fields, or if you need the dimension columns.
There are two ways to balance. For a simple entry, fill in Bal. Account No. on the same line, and Business Central creates both sides. For an entry with several lines, leave it blank. Give every line the same Document No. and make the amounts total zero. The balance fields at the bottom show any difference.

Previewing and posting general journals in Business Central
Before posting, choose Preview Posting. It shows the G/L entries, customer or vendor entries and tax entries that would be created. Nothing is committed. The Test Report lists errors such as a blocked account or a missing dimension. Both take only a few seconds, and they are worth it on any large journal.
If the batch sits under an approval workflow, use Send Approval Request and wait for release. Then choose Post, or Post and Print to get a register. Posted lines leave the journal and become ledger entries. They are grouped in a G/L Register that records the user and the time of posting.
Set up journal approvals →- ✓Run Preview Posting
- ✓Print the Test Report
- ✓Confirm document balance
- ✓Check dimensions
- ✓Request approval if required
Reversing and reusing entries
You cannot edit posted entries, so you correct mistakes with a reversal. Open G/L Registers, select the register and choose Reverse Register. Or choose Reverse Transaction from the ledger entries. Business Central posts equal and opposite entries and links them to the originals. For entries posted from documents, correct the document instead.
To save typing, use Save as Standard Journal for entries you repeat. Then use Get Standard Journals to bring them back. The Posted General Journal page also lets you copy earlier lines into a new batch. And Edit in Excel helps with long entries. If journals take too long at your company, our consultants can suggest improvements.

Questions about general journals in Business Central
How do I fix a general journal posted to the wrong account?
Reverse it. Find the entry in G/L Registers or General Ledger Entries, choose Reverse Transaction and post the reversal. Then enter the journal again, correctly. Both the wrong entry and its reversal stay visible. That keeps the audit trail complete. So nobody has to delete anything, and your auditors can see exactly what changed and when.
Can general journals be approved before posting?
Yes. Business Central includes workflow templates for general journal batches and for single lines. Once you turn one on, the person who enters the journal sends an approval request. Posting is blocked until the approver releases it. Approvers can respond from Outlook or Teams. So a busy manager can approve general journals in Business Central without opening the system.
Why will my journal not post when it looks balanced?
Usually the lines do not share one Document No., or they have different posting dates. Then each document is out of balance, even though the batch totals zero. A mandatory dimension left blank or a blocked account causes the same refusal. Run Preview Posting or the Test Report, because both name the line and the reason.
Can I import a journal from Excel?
Yes. Use Edit in Excel on the journal page to paste lines into a workbook and publish them back. For large opening balance loads, use a configuration package. The same checks apply as when you key the lines by hand. So an imported journal still stops at a blocked account or a missing dimension, which is what you want.
What is the difference between a general journal and a recurring journal?
A general journal empties when you post it. A recurring journal keeps its lines and posts them again on a schedule. You set that with the Recurring Method and Recurring Frequency fields. It suits monthly accruals and allocations. We describe it in a separate guide. Use a plain general journal for one-off entries, and a recurring one for the repeats.
