Business Central Team Member license: rights, limits and setup
The Business Central Team Member license is a lower-cost user license for people who need to see data and do a few light tasks. They do not run transactions. Team Members can read what their permissions allow, update existing records, approve workflow requests, work with quotes and fill in time sheets. They cannot post invoices, orders or journals.

What the Business Central Team Member license is for
Microsoft offers three main named-user licenses. They are Essentials, Premium and Team Members. The first two are full users who process transactions. Team Members is an extra license for colleagues around them. Examples are managers who approve spending, sales staff who look up orders and employees who record time.
Used well, it lets a company give many people access to live information. Nobody needs a full license for each. Used carelessly, it leads to frustration. Someone finds on their first day that they cannot complete their job. The fix is to match each person's tasks to the license before assigning it.

What a Team Member can do
According to Microsoft's licensing guide, a Team Member can read any data in Business Central, subject to permissions. They can update existing data. For example, they can correct an address on a customer card that already exists. They can also approve or reject tasks in workflows assigned to them.
Quotes are open to them too: they can create, edit and delete one. Also, they can maintain their own personal information and enter time sheets for projects. The license also includes rights to use Power Automate flows and Power Apps built on Business Central data, within the same limits. Check Microsoft's current licensing guide, because Microsoft updates it from time to time.

What a Team Member cannot do
Team Members cannot post. Sales orders, sales and purchase invoices, general journals, payment journals, item journals and warehouse documents all need a full user. They also cannot create new master records, such as a new customer, vendor or item. Business Central online enforces these limits in the app itself.
The enforcement surprises people, because permission sets alone might appear to allow more. The system checks the license as well, and the stricter of the two wins. A Team Member who tries to post gets an error. It says the license does not permit the action, however generous their permissions are.

How to assign the Business Central Team Member license
You assign licenses in the Microsoft 365 admin center, not in Business Central. An administrator opens the user and ticks the Dynamics 365 Business Central Team Member license. Then they save. In Business Central, the Users page has an action to update users from Microsoft 365. That brings the new user in.
The License Configuration page controls which permission sets each license type gets by default when a user is first created. After that, open the user card. Adjust permission sets and user groups to match the person's role. Then test with a real Team Member account in a sandbox before rollout.

Choosing the right mix around the Team Member license
List each person and the tasks they do in a normal week. Anyone who posts documents or journals, creates master data or runs warehouse tasks needs Essentials or Premium. Anyone who only looks things up, approves, quotes or records time is a candidate for Team Members. Shared shop-floor or counter terminals may suit the Device license.
Revisit the list when roles change. An approver who starts entering purchase invoices needs a different license. Current prices are on Microsoft's site. If you would like a second pair of eyes on your user list, our consultants can go through it with you. They will flag likely mismatches.

Business Central Team Member license: questions
Can a Team Member create a sales order?
No. Team Members can create and edit quotes. But converting a quote to an order and posting it requires a full Essentials or Premium user. If someone regularly enters orders, they need a full license, however their permissions are set. So list who creates orders before you buy any Business Central Team Member license.
Can Team Members approve purchase invoices?
Yes. Approving or rejecting requests in workflows assigned to them is within the license. The approver can open the document, read it and approve it from Business Central, Outlook or Teams. A full user then posts the approved invoice. So the approval chain can include light users, while the posting stays with full users.
Do we need a full user before buying Team Members?
Team Members is an extra license meant to sit beside full users. So a company running Business Central will have Essentials or Premium users as well. Your licensing provider can confirm the current minimum requirements from Microsoft's licensing guide. Ask before you buy, because Microsoft can change those rules from time to time.
Why can a Team Member not post even with SUPER permissions?
The license is checked in addition to permission sets. Permissions describe what a role may do inside the company. The license sets the outer limit of what that user type may do at all. So the narrower rule always applies. Giving SUPER to a Team Member does not remove the limit, and it only hides the real gap.
Can Team Members use Power BI reports and the mobile app?
Yes. They sign in through the browser, desktop app or mobile app like any user. They see the pages their permissions allow. Power BI reports embedded in Business Central are visible to them. That depends on the Power BI licensing your organization holds. So check that licensing as well before you roll the reports out.
