The Business Central device license explained for shared workstations
The Business Central device license covers a shared device instead of a named person. So several staff can use one warehouse scanner, shop floor terminal or sales counter without each holding a full user license. This guide explains who it suits, how an administrator assigns it and which limits to check. Microsoft publishes current prices on its own site.

What a Business Central device license is
Most Business Central licenses are named. One person gets one license. That is wasteful where five people on a shift share a single terminal to register picks or report output. The device license belongs to the workstation. One license covers anyone who signs in on it under the device arrangement.
Microsoft lists it beside the other license types. Essentials and Premium are for full users. Team Members is for light use. Device is for shared hardware. It suits a fixed job at a fixed place, such as point of sale, shop floor reporting or warehouse handling. Office work needs a named license.

When a Business Central device license is the right choice
The test is simple. Does a person need their own role center, their own approvals or access from different places? Then they need a named license. Does a group of people take turns at one device doing the same narrow task? Then the device license is likely the cheaper and tidier answer.
It is also worth comparing with Team Members. A Team Members license belongs to one person. It allows reading data and a few light tasks. A device license belongs to a machine. It allows the operational task that the machine exists for. Many warehouses end up with a mix of both, plus full users for supervisors.

How the device license is assigned
You buy device licenses through your Microsoft reseller, like any other. Assignment works differently, though. An administrator creates a security group in the Microsoft 365 admin center. The group needs the exact name that Microsoft specifies for Business Central device users. Then the administrator adds the people who will use the shared devices as members.
Members of that group do not need an individual Business Central license. When they sign in, the system treats them as device users. They still need a user record and permission sets inside Business Central. So plan a narrow permission set. It should cover the warehouse or shop floor pages and nothing more.

Limits to know before you buy
The number of device users signed in at once cannot exceed the number of device licenses you hold. So ten licenses allow ten shared devices in use together, however many people are in the group. Count the devices in use at the busiest moment of the day. Do not count the headcount.
Some administrative work, such as scheduling tasks in the job queue, is closed to device users. Also, the license does not cover personal phones or laptops used by one person. Check Microsoft's current licensing guide for the detail, because Microsoft updates it. We read it with clients before they place an order.
Ask about the limits →- ✓Concurrent use capped by licenses
- ✓No job queue scheduling
- ✓Not for personal devices
- ✓Permission sets still required
- ✓Terms set by Microsoft
Planning the full license mix around the Business Central device license
A sound mix starts from roles, not from a price list. List who posts, who approves and who only reads. Then list which stations are shared. Full users take Essentials or Premium. Premium is needed only where manufacturing or service management is used. One environment cannot mix Essentials and Premium users.
Scanning apps add their own question, because some vendors license each device as well. So check both sides before buying hardware. If you would like the role list turned into a license count, our consultants can do that in a licensing check. We also point you to Microsoft's current pricing page.
Plan your licenses together →- ✓Essentials for core operations
- ✓Premium adds manufacturing and service
- ✓Team Members for light use
- ✓Device for shared stations
- ✓Scanning app licenses checked separately
Business Central device license: buyer questions
How many people can share one device license?
There is no fixed headcount for each license. The cap is on concurrent use. The number of device users signed in together cannot exceed the number of device licenses held. People on different shifts can share the same device. So a warehouse with three shifts may need far fewer licenses than it has staff. Count devices in use at the busiest hour.
Do device users need their own Microsoft 365 account?
Each person still signs in with their own account, so that postings are traceable. An administrator adds them to the device users security group. Nobody gets an individual Business Central license. Even so, each needs permission sets in Business Central. So the Business Central device license saves on licenses, but it does not remove the need to set up each user.
Can a device license be used on a personal laptop?
That is not its purpose. The license suits a shared device at a fixed workstation, such as a warehouse terminal. Someone who works from their own laptop across different tasks needs a named user license. If you are unsure about one case, describe the work to us. Then we can compare it with Microsoft's licensing guide with you.
Is the device license the same as Team Members?
No. Team Members is a named license for one person, with read access and limited tasks. The device license suits shared hardware. It covers the operational work done there, such as picking, receiving or reporting output. So the right choice depends on whether the user is a person or a station. Many sites use both.
Where can I find the device license price?
Microsoft publishes current license prices on its Business Central pricing page. Your reseller can quote for your agreement. We do not list prices here, because they change. Instead, we help you work out how many licenses you need. That count is the part you can control, and it is the step most buyers get wrong.
