Recording bank deposits in Business Central so the statement matches
Bank deposits in Business Central group several customer payments into the single amount your bank shows on the statement. You create a deposit for one bank account, list each check or cash amount and apply the lines to invoices. Then you post. This guide covers the setup, the entry steps and how a deposit makes reconciliation easier.

What bank deposits in Business Central solve
Picture a company that takes ten checks to the bank. The statement shows one credit. If the checks were posted as separate journal lines, the person reconciling must work out which entries add up to the bank's figure. A bank deposit keeps the ten payments together under one document and one total.
The Bank Deposits page does that job. Each deposit has a header for the bank account, date and expected total. Below it sit lines for the single receipts. It suits companies that still handle paper checks and cash. It also works for card settlements or lockbox batches that arrive as one amount.

Setup needed before the first deposit
Setup is light. On the Sales and Receivables Setup page, choose a number series for bank deposits. Next, create a general journal template of the deposits type and at least one batch. These hold the lines while you work. The bank account also needs its posting group and, for later reconciliation, its statement details.
Decide early how deposits should reach the bank ledger. The Post as Lump Sum toggle writes one bank ledger entry for the whole total. Turned off, each line creates its own entry. Lump sum is normally the better fit, because it mirrors how the bank reports the money.

Creating bank deposits in Business Central and applying payments
Create a new deposit, pick the bank account and enter the total from the slip. On each line, choose the account type, normally Customer. Then enter the customer number, the document number and the credit amount. A line can also point to a general ledger account, for receipts that are not against an invoice.
To settle invoices, use Apply Entries on a line and mark the open invoices the payment covers. You can also fill in the Applies-to Doc. No. field directly. Payment discounts work as they do in a journal. The page shows the gap between the header total and the lines. That gap must reach zero before you post.

Posting and printing the deposit
Before posting, run the test report. It lists every line and flags missing accounts or dates. It also works as a slip you can check against the physical bundle. Posting then creates customer ledger entries that close the applied invoices. It adds either one or several bank ledger entries, depending on your lump sum choice.
Posted deposits stay on the Posted Bank Deposits page with their lines. So anyone can later see which checks made up a given credit. Did you post a deposit with a mistake? Newer versions let you reverse a posted deposit. After that, you enter the payments again, this time correctly.

How bank deposits in Business Central help reconciliation
On the bank account reconciliation, the statement line for the deposit now has one ledger entry of the same amount. Automatic matching finds it by amount and date. Without deposits, the same line would need a many-to-one match by hand. That is where reconciliations tend to stall.
Deposits are not the answer for electronic payments that arrive one by one. The payment reconciliation journal or bank feeds suit those better, and our bank reconciliation guide covers them. Does your team mix both kinds of receipt, so that month end drags? Then we can help you set a clear routine.
Tidy your bank process →- ✓One statement line, one entry
- ✓Automatic matching works
- ✓Fewer manual many-to-one matches
- ✓Clear trail per check
- ✓Separate routine for electronic receipts
Bank deposits in Business Central: questions we hear
When should I use a bank deposit instead of the cash receipt journal?
Use a deposit when several payments reach the bank as one amount, such as a bundle of checks. Use the cash receipt journal when each payment appears on the statement by itself, as most electronic transfers do. So the choice follows the shape of your bank statement. Many companies use both, each for the receipts it suits best.
What does Post as Lump Sum do?
It posts the whole deposit as a single bank account ledger entry equal to the deposit total. Customer ledger entries are still created for each line. So the bank reconciliation gets one entry to match against one statement line. For bank deposits in Business Central, this is the setting most companies choose, because it mirrors the statement.
Can a deposit include money that is not from a customer?
Yes. A line can use a general ledger account, a vendor or another bank account as its account type. That covers refunds from suppliers, sundry income or a transfer. All of them stay within the same deposit total. So one slip from the bank can hold every kind of receipt that went into the bundle.
Why will my deposit not post?
The most common reason is that the total deposit amount on the header differs from the sum of the lines. Other causes include a missing number series, a blocked customer or a posting date outside the allowed range. Check the difference field first. It shows at once whether the header and the lines agree.
Can a posted bank deposit be corrected?
Recent versions let you reverse a posted deposit. That undoes its ledger entries, so you can enter the payments again. On older versions, you unapply and reverse the single entries. We can confirm what your version supports. Then we can write a short routine, so your team knows what to do when a deposit goes wrong.
