Business Central vs Dynamics AX: choosing a path off an aging ERP

Business Central vs Dynamics AX has a short answer: Business Central is not the successor to AX. Microsoft carried AX forward as Dynamics 365 Finance and Supply Chain Management, while Business Central grew from Dynamics NAV for small and midsize firms. Many AX companies that use only part of AX fit Business Central with far less overhead. Large global groups usually belong on the enterprise line.

🗂️Product history

Business Central vs Dynamics AX: two Microsoft product lines

Dynamics AX began life as Axapta. Microsoft grew it into an ERP for large, often global firms, with deep manufacturing, supply chain and finance features. Microsoft then carried that line into the cloud as Dynamics 365 Finance and Supply Chain Management. AX itself gets no new versions.

Business Central comes from a different family. It grew out of Dynamics NAV, once called Navision, and Microsoft rebuilt it as a cloud service for smaller firms. The two lines have separate code, separate development languages and separate licensing. They only share the Dynamics 365 name and the Microsoft cloud.

⚖️Size and scope

Business Central vs Dynamics AX: scale and depth

Microsoft built AX for firms with many legal entities, shared services and advanced warehousing. It also fits process and lean manufacturing, and it expects an IT team to run it. Its setup options are broad, and so is the effort to build and maintain them. For a group that needs that depth, it is a real strength.

Business Central covers the same business areas with less depth and far less overhead. It has finance, sales, purchasing, inventory, warehousing and projects, and with Premium it adds manufacturing and service. It handles many companies and currencies. A midsize firm can run it with no in-house developers. A very large group may hit its limits.

Business Central vs Dynamics AX: when an AX firm fits BC

Plenty of AX customers bought an enterprise system and expected to grow into it. Now they use a fraction of what it offers. If your AX runs a few entities, standard distribution or discrete manufacturing, and a modest user count, Business Central may cover your needs with a lighter footprint.

The test is a fit and gap exercise against what you really use, not what is installed. We list the AX functions in daily use, the custom work that still matters, and the links around them. Then we mark each one as standard in Business Central, as an add-on, or as a true gap.

When Finance and Supply Chain Management is the better successor

Some AX firms should stay on the enterprise line. Large global structures point that way. So do advanced warehouse and transport management, and process manufacturing with formulas and co-products at scale. Heavy use of AX features that Business Central lacks also points to Dynamics 365 Finance and Supply Chain Management.

We say so when we see it. Our work is Business Central, and pushing it where it will strain helps nobody. Even then, the fit and gap list we write is still useful. It records your needs for whichever Microsoft partner handles the enterprise upgrade.

🚚The project

What moving from AX to Business Central involves

This is a fresh setup, not an upgrade. There is no in-place conversion from AX, and custom code written in X++ does not carry over. Needs that still matter are met with standard features, marketplace add-ons or new AL extensions. We pull data out of AX, reshape it and load it through configuration packages or APIs.

The benefit of a fresh start is simplicity. Old tweaks that nobody remembers stay behind. We redesign the chart of accounts and dimensions for current reports, and users learn a cleaner system. We rehearse the data load in a sandbox until balances agree with AX. Only then do we run the real cutover.

Questions

Business Central vs Dynamics AX: common questions

Business Central vs Dynamics AX: is BC the new AX?

No. The successor to AX is Dynamics 365 Finance together with Dynamics 365 Supply Chain Management. Business Central is the successor to Dynamics NAV. An AX customer can choose either product, but only the first one continues the AX line itself. So the name does not tell you which product fits. Your size, your sector and your needs do.

Can AX data be migrated to Business Central?

Yes, though not with an automatic tool. We export master data, open transactions and balances from the AX database. Then we reshape them to fit Business Central and import them. How much posted history to bring is a case-by-case call. Many firms keep old history in reports and start the new system with clean opening balances.

Will our AX customizations work in Business Central?

Not directly. AX code uses X++, and Business Central extensions use AL. So we assess each custom item. Today, standard features cover many of them. Add-ons cover some more. We rebuild the rest as extensions where the need still justifies it. That check often shrinks a long list of tweaks into a short one.

Is AX still supported by Microsoft?

Microsoft has ended or is ending mainstream and extended support for the older AX versions. That means no new features and, after the end dates, no security updates. Microsoft's lifecycle pages give the exact status for the version you run. So check the date first, and then plan your move well before it arrives.

How do we know if we are too large for Business Central vs Dynamics AX successors?

Look at complexity more than headcount. Very high transaction volumes, advanced warehouse automation or dozens of linked entities are signs to consider the enterprise product. A fit and gap exercise gives a reasoned answer, not a guess. For your Business Central vs Dynamics AX choice, that written result is the best place to start.
