Moving from SAP Business One to Business Central: a planned migration

An SAP Business One to Business Central migration replaces one full ERP with another. So it is a re-implementation with a data load, not a file conversion. We map business partners, items, bills of materials and open documents. We find a Business Central answer for each add-on and user-defined field. Then we prove the balances in a sandbox before your team switches.

What an SAP Business One to Business Central migration covers

SAP Business One is SAP's ERP for small and midsize companies, running on Microsoft SQL Server or SAP HANA. Business Central is Microsoft's ERP for the same size of company, delivered online with two release waves a year. The two cover similar ground with different data structures.

That means master data, open transactions and balances move. However, we rebuild the setup. Posting logic in Business Central runs on posting groups, not account determination tables. So we do the finance design fresh. We use the old system as a reference, not as a template.

Scope your move from SAP →

In scope
  • ✓Master data and price lists
  • ✓Open orders and invoices
  • ✓Inventory quantities and values
  • ✓Ledger balances by period
  • ✓Integrations and printed forms

Business partners, items and warehouses in the move

In SAP Business One a business partner can be a customer, a vendor or a lead in one master table. Business Central keeps customers, vendors and contacts as separate records. Still, you can link them. For this, we split the list, carry over payment terms and addresses, and link the pairs that trade both ways.

Item groups become item categories and posting groups. Meanwhile, warehouses become locations, with bins added where you want directed put-away and picks. Batch and serial numbers map to item tracking codes. Each item gets a costing method that fits how you value stock today. We align units of measure too.

Typical mappings
  • ✓Business partners to customers, vendors
  • ✓Item groups to item categories
  • ✓Warehouses to locations and bins
  • ✓Batches to lot numbers
  • ✓Cost centers to dimensions

Add-ons, user-defined fields and reports

Most SAP Business One systems carry partner add-ons, user-defined fields and tables, and custom queries or Crystal layouts. None of that transfers as code. First, we list each one and ask who still uses it. Then we sort them into standard feature, AppSource add-on, small AL extension or retire.

In our experience, standard Business Central pages, dimensions or approval workflows cover a good share of old customizations. We build what is left as extensions that sit beside the base application. So Microsoft's updates keep flowing without a rework project each time. Finally, we record each decision.

For each customization
  • ✓Who uses it today
  • ✓Standard feature available
  • ✓Marketplace app that fits
  • ✓Extension needed
  • ✓Safe to retire
🧪Load and prove

Loading data into Business Central

Microsoft offers no migration tool for SAP Business One. So we extract data with queries and shape it in Excel. Then we load it with configuration packages and journals. Also, we save each package. That makes the rehearsal load and the final load the same repeatable steps. As a result, nobody types anything in by hand.

After every rehearsal your controller compares several figures against SAP reports for the same date. These are the trial balance, receivables and payables aging, and stock value by location. We trace differences to a mapping decision and fix them at the source. Then we run the load again until nothing is left to explain.

Plan a rehearsal load →
Reconciled each run
  • ✓Ledger balance per account
  • ✓Customer aging totals
  • ✓Vendor aging totals
  • ✓Stock value by location
  • ✓Open order quantities
🏭For manufacturers

Production and MRP after the move from SAP Business One

If you run production in SAP Business One, bills of materials, resources and open production orders need a home. In Business Central, production BOMs, routings, work centers and planning worksheets belong to the Premium license. Light kitting can run on assembly orders in Essentials.

Next, we look at how you really build: make to stock, make to order or simple assembly. That decides the license and the planning parameters on each item. It also decides whether MRP runs from forecast, from sales orders or both. Microsoft publishes the current license price on its site.

Questions

SAP Business One migration FAQ

Can our SAP Business One add-ons be moved across?

Not as they are. Developers write add-ons for the SAP platform, so they do not run on Business Central. We replace each one with a standard feature, an app from Microsoft's marketplace or an AL extension. If nobody relies on it any more, we drop it.

How much transaction history should we bring?

You do need open items and balances. Detailed history is optional, and most companies bring period balances for comparison and keep the SAP database available for lookups. Loading old posted documents adds effort and risk without changing how the new system runs.

Does it matter whether we run on HANA or SQL Server?

Only for how we extract data. The target is the same either way. We write the extraction queries for your database and export to files. Then we load from there. So nothing in Business Central depends on the platform you are leaving.

Will our Crystal report layouts carry over?

No, we rebuild them. Business Central documents use Word, Excel or RDLC layouts. Adjusting a standard layout meets many needs. We start with the customer-facing forms: invoice, order confirmation, packing slip, purchase order and statement.

Can we run both systems side by side for a while?

We advise against a long parallel run because double entry tires people and the two ledgers drift. A better test is a full rehearsal with real data and scripted user tasks in a sandbox. Then comes a clean cutover at a period end. That is how the migration stays calm.
