A Sage to Business Central migration that keeps your numbers

A Sage to Business Central migration replaces a Sage ledger with Microsoft's cloud ERP. That ledger often sits on a server in the office. We work out which Sage product you run, such as Sage 50, Sage 100 or Sage 300, and its modules. Then we map accounts and segments to the new structure. We move master data and open balances. We rebuild the reports people rely on. Finally, we rehearse the cutover in a sandbox.

🧩Your Sage

Every Sage to Business Central migration starts with the product

Sage is a family of separate products, not one system. Sage 50, Sage 100, Sage 300 and Sage Intacct store data differently. They also offer different export routes. So a plan for one does not carry over to another. Our first step is an inventory of the product, the modules in use and any third-party additions.

That inventory also shows how people really use the system. Some companies lean on job costing, others on inventory with several warehouses, others only on the ledger and payables. Knowing this tells us which Business Central areas need design work and which can follow the standard setup.

🧮Account mapping

Segmented accounts become accounts plus dimensions

Many Sage charts build the department, division or branch into the account number as a segment. In Business Central the natural account stays as the account and the other segments become dimensions. The result is a far shorter chart. You can also slice reports by any dimension without new accounts.

We prepare a mapping table from every old account combination to its new account and dimension values. Your controller signs it off. That single table drives the opening balances, the comparison figures and the budget load. So the same logic applies everywhere. Nothing gets mapped twice.

📦Data loading

Master data and balances in a Sage to Business Central migration

We extract customers, vendors and items from Sage. We also take bills of material where they exist, price lists and fixed assets. Then we clean the data and load it through configuration packages. By agreement, we leave out duplicates and records nobody has used for a long time. A clean system should not inherit them.

Open receivables, open payables, stock on hand and ledger balances come next. We run each load in a sandbox. Then we compare it with Sage reports: trial balance, aged listings and inventory valuation. We repeat the trial until the totals agree, and only then schedule the production load at a period end.

📑Report rebuild

Reports and forms in a Sage to Business Central migration

Sage reports and printed forms do not move across as files. We list the ones that matter, such as financial statements, invoices, statements and checks. Then we rebuild them with Business Central financial reports, document layouts and Power BI. Many old reports turn out to be unnecessary. Once you can filter list pages and open them in Excel, you no longer need them.

Customizations get the same treatment. We match each one against a standard feature first. Then we try an app from Microsoft's marketplace. We write an AL extension only when neither fits. That keeps the new system easy to update through the two release waves Microsoft ships each year.

⚠️Common pitfalls

Where a Sage to Business Central migration goes wrong

The usual failure is treating the move as a copy. Rebuilding every old account, report and workaround produces a cloud version of the system people wanted to leave. We challenge each carried-over item and ask what business need it serves, which removes a good share of the scope.

The second risk is a cutover nobody rehearsed. Payment runs, open orders and bank feeds all need a planned stop and restart. We write a cutover sheet with an owner for each task. We practice it in the sandbox. So the live weekend follows a script the team has already walked through.

  • ✓Sage kept as read-only
  • ✓Role-based user training
Questions

Sage to Business Central migration questions

Is there an automatic tool that converts Sage data?

Microsoft built its cloud migration tool for Dynamics GP and earlier NAV and Business Central versions, not for Sage. Instead, we move Sage data with exports, Excel templates and configuration packages. That also gives a chance to clean the data.

Can we keep Sage running for lookups after go-live?

Yes, and we recommend it. Sage stays available as a read-only reference for old invoices and detailed history. Business Central holds the opening balances and everything new. How long depends on your record-keeping rules.

How are Sage job costing records handled?

We set up open jobs as projects in Business Central. They keep their tasks, budgets and costs to date. So work in progress continues correctly. Closed jobs normally stay in Sage for reference. We agree the list of open jobs with your project accountants before loading anything.

Do our Sage user roles carry over?

No. Business Central uses permission sets and security groups tied to Microsoft Entra accounts. We design roles from what each person needs to do. We test them in the sandbox and assign licenses to match. This is usually tidier than the access that built up in Sage.

Should we move at year end?

A fiscal year end is convenient because opening balances are simpler, but any period end works. With a mid-year move we load balances by period, so the year still reports as a whole. The better question is when your finance team has room for testing and training. A Sage to Business Central migration goes best when that team is not also closing the books.
