Business Central personalization that fits each person's work
Business Central personalization lets every user rearrange their own pages without code. They can hide fields they never touch and move the ones they need to the top. They can add columns, freeze panes and save list views. Our consultants set sensible defaults for each role first. Then we teach your people to fine-tune their own workspace, so data entry gets quicker.

Business Central personalization works at two levels
The first level belongs to the individual. From the settings menu, a user picks Personalize. A banner appears. It lets them drag fields, hide columns and add fields from a list. They can reorder actions and set which fields the Enter key stops at. The changes affect only that person.
The second level belongs to the administrator. On the Profiles (Roles) page, an administrator customizes pages for a whole profile. So everyone assigned to Order Processor or Accountant starts from the same tidy layout. Individual changes then sit on top of that shared base. You can use both levels together.

- ✓Field order and visibility

- ✓Freeze pane position
- ✓Quick Entry tab stops
- ✓Tiles on the home page
Signs your pages need tidying
Standard pages show a wide set of fields, because Microsoft cannot know which ones your company uses. A sales order looks the same for a distributor and for a service firm on the first day. Both see fields that mean nothing to them. The page suits neither of them well.
You notice the cost in small ways. People tab through a dozen empty fields on every line. They scroll sideways to find a column. Or they ask for a customization that turns out to be a hidden standard field. A morning spent on layout often removes a list of development requests.
Show us a cluttered page →- ✓Too many tab stops
- ✓Sideways scrolling on lines
- ✓Needed fields hidden
- ✓Unused FactBoxes on screen
- ✓Same filter typed daily
How we roll out Business Central personalization
We watch a user from each role enter real transactions. We note where they hesitate, skip or reach for the mouse. From that, we design a layout for the role. The fields sit in working order. Quick Entry makes Enter land only where typing is needed. Saved list views cover the filters used every day.
We build the layout in a sandbox using profile customization. The people who will live with it try it out. Then we move it to production. After that, we run a short session that shows each team how to personalize further on their own. We record it for anyone who joins later.
Schedule a layout session →- ✓Observe real data entry
- ✓Design layout per role
- ✓Build on the profile
- ✓Try it in sandbox
- ✓Coach users afterwards
What is in place when we finish
Each profile has cleaned pages for its main documents, cards and lists. Saved views come with them, such as open orders for my customers or invoices awaiting approval. New employees get a workspace that already makes sense, not the factory default. Their first week is easier for it.
Your administrator gets a short note. The note says where profile customizations live and how to copy a profile. It explains how to clear one user's personalization from the Personalized Pages list when something goes wrong. Another section shows how to switch personalization off for a profile where a fixed layout is preferred.
Request the admin notes →- ✓Customized role profiles
- ✓Saved list views
- ✓Quick Entry settings
- ✓Administrator how-to note
- ✓Recorded coaching session
What personalization cannot do
Business Central personalization changes what is shown, never what exists. It can reveal a field that is already available for the page. It cannot create a new field, add a validation rule or change a calculation. Those need an extension.
It is also not a security tool. Hiding a field from a page does not stop a user from reading the data elsewhere. So you must still control access with permission sets. We keep the two subjects apart. We point out when a request belongs with development or security instead.
Check what needs code →- ✓Brand new fields
- ✓Mandatory field rules
- ✓Changed calculations
- ✓Data access restrictions
- ✓New pages or reports
Business Central personalization questions
What is the difference between personalization and customization?
Personalization is done by a user for their own workspace. Profile customization is done by an administrator for everyone in a role. Both use the same drag-and-drop tools, and neither needs code. Customization through AL extensions is a separate, developer-level job. We explain which one fits each request, so you do not pay for code you do not need.
Does Business Central personalization survive an update?
Yes. Personalization and profile customizations are stored apart from the application. They stay through monthly updates and release waves. If Microsoft removes or moves a field, the affected change is simply ignored, and the page still opens as normal. So your tidy layouts do not break when the system updates. We also note them in the handover guide.
How do I undo a personalization that went wrong?
While personalizing, a user can choose Clear personalization to return the page to its default. An administrator can also open the Personalized Pages list, find the user and the page, and delete the record. That resets the page for that person. Nobody is stuck with a broken layout, and nobody needs a developer to fix it.
Can we stop users from personalizing?
Yes. Each profile has a setting that turns off personalization for the users assigned to it. Some companies do this for shared warehouse or shop floor logins. There, every session should look the same. They leave it open for office staff. We help you decide which profiles need a fixed layout and which should stay flexible.
Do personalized pages follow me to another device?
They do. The service saves personalization against your user and profile. So the same layout appears when you sign in from another browser or computer. The phone and tablet apps use their own simplified layouts for smaller screens. Business Central personalization therefore travels with the person, not with the machine, which suits staff who move between desks.
