Business Central lease accounting for right-of-use assets and liabilities

Business Central lease accounting covers how leased offices, vehicles and equipment show on your balance sheet under ASC 842 or IFRS 16. Business Central has no lease module of its own. So you choose between a careful setup with standard features and a lease add-on. We help you decide. Then we build the schedules, postings and reports your auditors expect.

📚What is required

What lease accounting standards ask of your ledger

Both standards put most leases on the balance sheet. At the start of a lease, you record a liability for the present value of future payments. You also record a matching right-of-use asset. Each period, the liability falls as you pay, and interest builds up. The asset is amortized.

The expense pattern depends on the class. A finance lease shows interest and amortization apart. An operating lease under ASC 842 shows one straight-line lease cost. IFRS 16 treats nearly all lessee leases like finance leases. Your accounting policy decides which applies. The system must then follow it.

Business Central lease accounting with standard features

For a small portfolio, standard features are enough. You create the right-of-use asset as a fixed asset in its own class, with a depreciation book. So amortization posts through the normal depreciation run. The liability sits in its own ledger accounts, split between current and long-term.

You work out the liability schedule in Excel from the lease terms. Then you load it as recurring general journal lines. That way, interest and principal post each month with no retyping. A dimension tags every entry with a lease code. So a roll-forward by lease is a simple filtered report.

When a lease add-on is the better choice

Spreadsheets strain once leases number in the dozens or change often. A rent step, an extension or an early end means a new measure of the liability and a change to the asset. Doing that by hand across many leases invites errors. And auditors test this area very hard.

Lease add-ons for Business Central hold the contract terms and work out present value and schedules. They make the journals and handle changes with a dated remeasurement. Many also produce the maturity analysis and weighted-average disclosures. We compare options on how they treat changes, because that is where they differ most.

🗓️How we deliver

How we set up Business Central lease accounting

We start from your lease register and accounting policy memo, not from software. For each lease, we confirm the inputs with your controller. Then we agree the new accounts. These are right-of-use asset, accumulated amortization, current and non-current lease liability, interest expense and lease cost. Nothing posts yet.

Next, we build the chosen approach in a sandbox. We load existing leases at their carrying amounts as of the cutover date. Then we run several periods ahead. We tie the balances to your current schedules, lease by lease. We explain any difference before your first live month-end uses the new routine.

Business Central lease accounting details that cause audit adjustments

The vendor invoice is the usual trap. Rent still arrives as a payable invoice. If accounts payable codes it to rent expense out of habit, the cost counts twice. So we route lease invoices to the liability account. We do that with a recurring purchase line or a default on the vendor.

Embedded leases are the other trap. Service or supply contracts sometimes include dedicated equipment that fits the lease definition. No system finds those for you. However, a simple flag and approval step on new purchase contracts prompts finance to ask the question at signing.

Questions

Business Central lease accounting questions

Does Business Central include a lease accounting module?

No. Business Central gives you fixed assets, general journals, recurring journals and dimensions. Together, they can carry lease entries. Present value, schedules and remeasurements come from a spreadsheet for small portfolios, or from a lease add-on for larger ones. We help you pick the one that suits your lease count and how often terms change.

How many leases can be managed without an add-on?

There is no fixed limit. The test is how often terms change and how long the monthly routine takes. A steady handful of property leases is comfortable in standard features. Frequent changes or many vehicle leases usually justify dedicated software. We look at your lease register first. Then we say which side of that line you sit on.

Can the right-of-use asset be a fixed asset?

Yes, and that is the usual way. It gets its own fixed asset class and posting group, so it reports apart from owned assets. Its straight-line amortization runs with the normal Calculate Depreciation batch job each period. This keeps Business Central lease accounting close to a routine your team already knows.

We report under both US GAAP and IFRS. Is that possible?

Yes. Separate depreciation books handle the asset side. You can post the differing expense pattern to an adjustment company, or tag it with a reporting dimension. The design needs care. So we work it through with your group accounting team. Then we test both views in a sandbox before the first live close.

Do you provide accounting advice on classification?

No. Classification, discount rates and policy choices are for your finance team and auditors. Our role is to make Business Central record and report what they decide. We do that accurately, with a routine that is easy to repeat each month. That is the heart of good Business Central lease accounting.
