Inventory valuation in Business Central you can defend

Business Central inventory valuation is the stock figure on your balance sheet. It should match what the item records say on any date. When the two drift apart, we find the cause in costing, posting setup or cost adjustment. Then we fix it and leave your team a simple way to prove the number.

⚖️How value forms

How Business Central inventory valuation is calculated

Quantities live in item ledger entries. Money lives in value entries. Every receipt, shipment, output and adjustment creates both. The value of stock on any date is the sum of the value entries up to that date. Nothing is kept as one running total.

Each item's costing method decides how outbound cost comes from inbound cost. The choices are FIFO, LIFO, average, specific or standard. Invoices, freight and corrections often arrive after the goods ship. So the first cost posted is often provisional. A later routine then passes the final cost to the entries that used it.

🔎When to call

Signs your Business Central inventory valuation needs attention

The clearest sign is a gap between the inventory account in the general ledger and the valuation report for the same date. Other signs are negative unit costs and margins that swing for no reason. An average cost that jumps after a backdated entry is another.

These problems rarely come from a defect. They come from setup choices made early. For example, a posting group may point to the wrong account. Someone may post a manual journal straight to the inventory account. Or a cost adjustment may not have finished for some items. Each leaves a trace that we know how to read.

Warning signs
  • ✓Ledger and subledger disagree
  • ✓Negative or zero unit cost
  • ✓Margin swings without cause
  • ✓Direct postings to inventory
  • ✓Open entries never adjusted
🛠What we do

Our approach to repairing the valuation

First, we open the inventory to ledger reconciliation page and the valuation report for a closed period. Then we trace the gap by location, posting group and item. We also check the inventory setup line by line. That covers automatic cost posting, expected cost posting, automatic cost adjustment and the average cost type.

We fix errors with the tools Business Central gives us. Mainly, that means the revaluation journal and reversing documents with the right dates. We never edit entries. We try each fix in a sandbox copy of your data first. Then we write down the before and after values, so your auditor can follow the trail.

🔁Month-end habit

A closing routine for Business Central inventory valuation

Good valuation is mostly routine, so build the habit. First, cost adjustment runs, either automatically or as a scheduled job queue entry. Next, you post inventory cost to the ledger if automatic cost posting is off. Then you check the reconciliation before you lock the period. The order matters.

Inventory periods stop anyone from posting item transactions into a closed month. That protects the figure you reported. We set them up with you and agree who closes them. Then we add the steps to your close checklist, with the exact pages and reports named.

Each period
  • ✓Run cost adjustment
  • ✓Post inventory cost to ledger
  • ✓Print the valuation report
  • ✓Check the reconciliation
  • ✓Close the inventory period
🧩Choices that last

Decisions that are hard to change later

You cannot simply switch a costing method once an item has entries. So it needs thought before go-live. Standard cost suits makers who want variances reported. Average suits interchangeable goods. FIFO suits most distributors. Specific suits serialized, high-value units. Mixed methods are normal, and each has its place.

Average cost brings a second choice. You can calculate it per item, or per item, location and variant. That choice affects transfer pricing between warehouses, and you cannot flip it casually. We explain each option with examples from your own items. That way, your finance lead makes the call with the full picture.

Questions

Business Central inventory valuation questions

Why does the Business Central inventory valuation report differ from the general ledger?

Common reasons are value entries that are not yet posted to the ledger, and manual journal lines posted straight to the inventory account. Another is posting groups that point to the wrong accounts. The reconciliation page shows which of these holds the difference. That is where we look first. Then we trace it to the item or the posting group.

Which costing methods does Business Central support?

It supports FIFO, LIFO, average, specific and standard. You choose the method per item. So a company can run standard cost for made goods and FIFO for bought parts. We help you choose based on how you buy, make and report. We also explain what each method does to cost of goods sold, so there are no surprises at month-end.

Can I see inventory value as of a past date?

Yes. The inventory valuation report takes a date range. It shows quantity and value at the start and the end, with increases and decreases in between. However, backdated postings can change a past figure unless you close the inventory periods. That is one more reason we set up periods and agree who closes them.

What does cost adjustment have to do with valuation?

It passes cost changes from inbound entries to the outbound entries that used them. Until it runs, cost of goods sold and stock value can both be provisional. So we make sure it runs on a schedule. Then we check the result before each close. This keeps Business Central inventory valuation steady from one period to the next.

Do you change posted entries to fix the value?

No. Posted entries stay as they are. We make corrections through the revaluation journal, item journals or reversing documents. As a result, there is always a visible record of what changed, when and why. Your auditor can follow each step. This is also the safest way to fix Business Central inventory valuation without losing history.
