A Business Central general ledger with traceable postings
The Business Central general ledger is where every sale, purchase, payment and adjustment finally lands. So its setup decides how clean your numbers are. Our consultants set up the posting groups, journals and period controls behind it. They repair ledgers that have drifted. They also show your finance team how to trace any balance back to the document that created it.

How the Business Central general ledger receives postings
Nobody types most ledger entries by hand. A posted invoice looks up the general business posting group of the customer or vendor. It also looks up the general product posting group of the item. Then it finds the revenue, cost and tax accounts on the General Posting Setup page.
We map every combination your company really uses and fill in the accounts. We block the ones that should never occur. Customer, vendor, inventory and bank posting groups get the same care. So the subledgers and their control accounts always agree. Nobody needs a manual correcting journal to make them match.

General journals in the Business Central general ledger
Accruals, payroll summaries and corrections still arrive through general journals. We create a journal template and batch for each purpose. Each batch gets its own number series, and we set balancing accounts where they help. That way, the person keying an entry sees only the fields they need. The audit trail also shows which batch an entry came from.
Entries that repeat go into recurring journals with fixed, variable or reversing methods. Allocation accounts split shared costs. Some entries need a second pair of eyes. For those, a journal approval workflow holds the batch until an approver releases it. So large manual postings do not slip through.

Period controls that protect the general ledger
A ledger stays reliable only when closed months stay closed. Business Central controls this through the allowed posting date range in General Ledger Setup. User Setup holds tighter ranges per person. We set both and agree who may reopen a period. Then we write down the routine, so it survives staff changes.
We create accounting periods for each fiscal period. The Close Income Statement batch job moves the result to retained earnings when the fiscal period ends. We rehearse that close in a sandbox first, including dimensions on the closing entries. So the real one holds no surprises for your controller.

Cleaning up a Business Central general ledger that has drifted
Some ledgers reach us after go-live with problems. Control accounts no longer match their subledgers. Direct postings hit accounts that should be protected. Dimension values are missing on half the entries. We compare each subledger with its account and find the postings that caused the gap. Then we correct them with documented journals.
Afterward, we close the door behind the fix. We switch off Direct Posting on control accounts. Default dimensions get value posting rules. We teach the Reverse Transaction function as the normal way to undo a wrong journal line. We list every correction. So your auditors can follow what changed and why.

Tracing and reporting from Business Central general ledger entries
A balance is only useful if someone can explain it. From any account, the ledger entries page drills into each line. Find Entries shows every related entry for a document number. We teach this path to your team. We also add the source code and reason code setup that makes filtering practical.
For reporting, account categories and subcategories feed the standard financial reports. You can compare G/L budgets against actuals by dimension. We set up the categories and confirm that the trial balance ties to the statements. Then we hand the deeper report design to a separate reporting engagement.

Business Central general ledger questions
Does the general ledger update in real time?
Yes. When you post a document or journal, the ledger entries are written in the same transaction. So balances are current straight away. There is no separate batch transfer from the subledgers. That is why correct posting group setup matters so much.
Can we change the chart of accounts after go-live?
You can add accounts, rename them and adjust categories at any point. Deleting or renumbering accounts that already hold entries is restricted. So we plan the structure carefully before go-live. We also use dimensions, not new accounts, for extra analysis.
How do we correct a wrong journal posting?
You cannot edit or delete posted entries. Instead, the Reverse Transaction function undoes a journal posting. It creates opposite entries linked to the original. You correct wrong invoices with credit memos. So the Business Central general ledger keeps a complete history.
Which license includes the general ledger?
The general ledger is part of both Essentials and Premium. Team Members users can read ledger data and run reports. However, they cannot post journals. Microsoft's site lists current license prices. We can help you match license types to roles.
Can several companies share one chart of accounts?
Each company in Business Central holds its own chart. However, you can copy a common structure between companies with configuration packages. For group reporting, consolidation maps each company's accounts to a consolidation company. We set that up as a separate piece of work.
