What Business Central Copilot can do today
Business Central Copilot is not one feature. It is several, and each one supports a task. Chat lets a user ask questions in everyday language. It finds records and explains how something works. Analysis assist turns a request, such as sales by region, into an analysis tab on a list page.
Other features support specific work. Bank reconciliation assist proposes matches between statement lines and ledger entries. Marketing text suggestions draft item descriptions for a web store. Sales line suggestions help build an order from a short description. As of October 2026, Microsoft's availability list on Learn also includes autofill fields, record summaries and number series suggestions.

Switching features on with the right controls
Administrators manage everything from the Copilot and agent capabilities page. Each capability shows its status. You can turn it on or off for the environment. Features marked as preview carry a clear label. So you can keep them in a sandbox until they are generally available.
Permissions narrow access to Business Central Copilot further. A capability then reaches only the roles that gain from it. We also read Microsoft's data handling pages with your administrator. They explain where processing takes place and how prompts are treated. That makes the decision to enable a feature an informed one.

Preparing data so suggestions help
Copilot works with what sits in your system. Bank matching is only as good as the descriptions on your ledger entries. Marketing text depends on item attributes and categories. Chat finds records by the names you maintain. So inconsistent naming leads to inconsistent answers.
Before we enable a feature, we look at the data behind it. We fix the obvious gaps, such as missing attributes, duplicate customers and vague descriptions. This tidying pays off beyond AI. The same fields drive searches, reports and integrations. A short cleanup is usually enough to show a difference.

Teaching users to work with Business Central Copilot
Every Copilot feature makes a suggestion, and a person decides what happens next. Proposed bank matches appear before anyone applies them. Drafted text can be edited or thrown away. That design is deliberate. Training should reinforce it, because the user stays responsible for what is posted or published.
We run short sessions by role, using your own data. Accountants practice checking proposed reconciliations. Sales staff learn how to phrase a request and what to check on the lines. Then we collect the prompts that work well for your business. They go onto a one-page guide people keep beside them.

Custom AI capabilities and honest limits
Developers can add their own Copilot capabilities in AL. They use the platform's AI module to call a language model from an extension. This suits narrow jobs, such as drafting a reply from a service order. A person confirms the result before it is saved.
The pitfalls are overreach and unchecked output. AI suggestions can be wrong. A process that posts them automatically is a risk. So we start with the standard features and see whether people use them. Then we propose custom work only where the need is clear. Some capabilities bill by usage, and Microsoft's site lists the current terms.
Explore a custom capability →- ✓Standard features first
- ✓A person confirms every result
- ✓Narrow, well defined tasks
- ✓Usage measured after launch
- ✓No automatic posting from AI
Business Central Copilot: questions from buyers
Is Business Central Copilot included in the product?
Many Copilot features are part of Business Central online. They need no separate product. Some newer capabilities, such as agents, bill by usage. The terms change as Microsoft develops the product. So we check the current licensing guide with you. Then you know the likely cost before you switch anything on. We also help you decide which features earn their place in your daily work, so nobody pays for something that sits unused.
Does Business Central Copilot work on premises?
No. Copilot features depend on Microsoft's cloud AI services. They are available in Business Central online. A company that runs on premises and wants these features must move to the online service first. That is a project we can help plan. We map your data, your add-ons and your reports. Then we agree a sensible order of work with your team, so the move does not disturb month end.
Can we turn Copilot off?
Yes. An administrator can turn off any single capability, or all of them, on the Copilot and agent capabilities page. Permissions add a second control. A feature can reach some roles and stay hidden from others. So you decide who sees what. We set this up with your administrator during the first workshop. Then we write the choices down, so a later change is easy to trace and explain to your auditors.
How accurate are Copilot suggestions?
They are helpful, but they are not perfect. That is why each suggestion appears for a person to accept, edit or reject. Business Central Copilot gains accuracy when your data is clean and well described. So we start with a data check. Then we teach users what to look at for each feature they will use. Over time, your team learns where Copilot saves effort and where a human eye still matters most.
Does Microsoft train its AI on our data?
Microsoft states in its documentation that customer data does not train the foundation models behind Copilot. We point your administrator to the current data handling pages. Your own compliance staff can then read the commitments first hand. We do not interpret legal terms for you. Instead, we list the questions to ask, so your team gets clear answers before a feature goes live for everyone.
