Moving from Acumatica to Business Central: a migration that keeps your reporting

An Acumatica to Business Central migration is a move between two cloud ERP systems. Nothing comes off a server, but everything needs a map. We turn branches, subaccounts, stock items and open documents into Business Central structures. We load them into a sandbox and balance the figures with your finance team. Then we switch over at a period end.

🔀Why switch

Why firms plan an Acumatica to Business Central migration

Both products are strong mid-market systems, so the reason to move is rarely a missing feature. More often the firm already lives in Microsoft 365. It wants its ERP inside Outlook, Excel, Teams and Power BI. Sometimes a parent firm or investor has chosen Business Central. It then wants every subsidiary on one platform.

Licensing shape matters too. Acumatica is generally sold by resource use. Business Central is licensed per named user, with Essentials, Premium and Team Members options. We help you compare them fairly for your user count and transaction load. And we say so when staying put is the sensible answer.

🧱Accounts and segments

Branches and subaccounts become dimensions

Acumatica reports through branches and segmented subaccounts. Business Central reports through dimensions on every entry. We turn each subaccount segment into its own dimension. Then we decide how to treat each branch. It can be a dimension value, a responsibility center or a separate company.

That choice shapes everything later. So we make it with your controller before we load any data. We rebuild the financial statements you use today as Business Central financial reports on the new dimensions. Then we compare a closed period side by side. That shows the numbers agree.

📦What moves

Master data, open documents and balances

Acumatica exports cleanly to Excel. That suits the way Business Central loads data through configuration packages. Customers, vendors, stock items, non-stock items, warehouses and price lists come across first. Stock items become inventory items with a costing method. Non-stock items become non-inventory or service items. Warehouses become locations with bins.

Open sales orders, purchase orders, unpaid invoices and bills follow. Then come stock quantities and general ledger balances by dimension. We load opening entries through journals. So the first postings in the new ledger carry clear dates. They also tie back to your final Acumatica trial balance, account by account.

Customization projects, reports and connected apps

Changes made through Acumatica customization projects do not transfer, because the platforms differ. We list each one and ask what it does for the business. Then we decide. Does Business Central already cover it? Does an AppSource app? Or does a small AL extension make sense?

Connected systems need the same care. We point web stores, shipping tools, payroll and banking links at Business Central. For that we use its standard connectors or APIs. We test every link in the sandbox with real sample transactions. Only then do we trust it with live orders or customer payments.

🏁Switching over

Cutover for an Acumatica to Business Central migration

We rehearse the switch at least once in full. Your team stops entering data in Acumatica at an agreed moment. We take final exports and run the loads in a fixed order. Then we compare balances line by line. Timings and problems from the rehearsal go into a written cutover plan. Every step has a named owner.

After go-live our consultants stay close during US business hours while people find their feet. The common stumbling blocks are small. One is a new place to find customer history. Another is a new way to apply payments. Short role-based sessions and quick answers stop those from turning into workarounds.

Questions

Acumatica to Business Central migration: common questions

Is there a tool for an Acumatica to Business Central migration?

No. Microsoft's cloud migration tool covers its own older products, not Acumatica. We export data from Acumatica and reshape it to the Business Central structure. Then we load it with configuration packages or APIs. We do the mapping once and reuse it for every test load. So each rehearsal runs faster than the one before it, and you see the real results early.

What happens to our Acumatica subaccounts?

In an Acumatica to Business Central migration, each segment of the subaccount normally becomes a Business Central dimension. Entries then carry those dimension values instead of a long account string. Financial reports can filter or total by them. We agree the dimension list with your finance lead before we load anything. That way nobody argues about names after the data is in, and reports look the way your managers expect.

Do we keep access to Acumatica after we switch?

That depends on your Acumatica agreement, so check the terms with your current provider. Before the subscription ends, we help you export detailed history to files or a reporting database. So past transactions stay available for audits and customer questions. We also write down where each export lives and how your team can search it later.

Will our users find Business Central very different?

The ideas are familiar: customers, vendors, items, orders and journals. Navigation, search and the way documents post are different. Staff who use Excel and Outlook each day tend to settle in fast. Business Central opens lists in Excel and works inside Outlook. We also run short role-based sessions, so each person learns the screens they will use.

Can we split an Acumatica to Business Central migration by branch?

Yes, when branches trade fairly on their own. A phased move means you run two systems for a while. You also handle transactions between them, which adds work. We weigh that against the lower risk of a smaller first step. Then we recommend one approach for your situation. We explain the trade-offs in plain words so you can decide with your team.
