Business Central for telecommunications providers: builds, equipment and billing

Business Central for telecommunications suits regional carriers, fiber builders, wireless providers, tower contractors and equipment resellers. These firms have outgrown basic accounting. Business Central manages finance, buying, serial-tracked equipment, build projects and simple recurring invoices. But usage rating and subscriber setup stay in the billing platform. That platform passes summary revenue to the ledger.

Network build projects in Business Central for telecommunications

Fiber routes, tower sites and customer installs are projects with many small costs. Think of permits, conduit, splicing crews and rented lifts. For example, a project with tasks for each route segment or site captures those costs. Planning lines hold the budget approved for the build.

But grant-funded builds add a layer. A dimension for the funding program marks every eligible cost. So a reimbursement claim becomes a report. You do not search through invoices. Finished segments move from work in progress to fixed assets. Each gets its own start date and asset class.

🧰Serialized stock

Tracking routers, radios and optics by serial number

First, customer equipment is small, valuable and easy to lose. Serial number tracking records each unit from purchase receipt to the warehouse. Then it follows the unit onto a technician's van and out to a customer. A lookup by serial number shows where a device has been. It also shows which document moved it.

Some equipment stays owned by the provider while it sits at a customer site. We hold it in a customer or consignment location. We do not expense it. Returned units come back through a return order. Then staff inspect them. They go to refurbished stock or to scrap. Warranty returns to the maker use purchase return orders.

🔁Monthly invoicing

Recurring revenue without a full billing engine

However, not every provider needs a carrier-grade billing system. Business customers on flat monthly circuits, managed Wi-Fi or tower leases can be invoiced from Business Central. You can use recurring sales lines. Or you can use the Subscription Billing app from Microsoft. It handles contracts, price changes and deferred revenue.

Where a rating engine already works out usage, taxes and surcharges, let it keep doing so. Business Central then gets revenue by product and area, plus payments, as summary journal entries. But communications taxes are complex. So the sum stays in the billing platform or a tax service.

🛠️Install, repair

Field technicians and service orders

Also, install and repair visits can run through Service Management in the Premium license. Service items hold customer equipment. Service orders cover each visit. Parts come from van stock. Larger field teams often prefer Dynamics 365 Field Service. It links to Business Central for items, customers and invoices.

Either way, the aim is the same. The technician's parts and time should reach the ledger. Office staff should not key them again. So we set up van locations and refills from the main warehouse. We add a simple routine to post finished jobs. Then a dispatcher sees a list of exceptions to resolve.

🏦Group reporting

Finance for telecommunications groups

First, providers often hold licenses, towers and operations in separate legal entities. Sometimes that follows the purchase of smaller networks. Each entity is a company in the same setup. They share a chart of accounts and dimensions. Shared staff and equipment move through intercompany documents. Then consolidation builds group statements.

Next, lenders and investors look at revenue per subscriber, churn and capital spent per passing. Subscriber counts come from the billing platform. They go into statistical accounts or a Power BI model, where they meet the financial figures. So finance stops rebuilding the same investor workbook each period.

Questions

Business Central for telecommunications: frequent questions

Can Business Central for telecommunications replace our telecom billing system?

For simple flat-rate services, often yes. You use recurring lines or Subscription Billing. For usage rating, prepaid balances, number management and setup of services, no. Those need a dedicated platform. Then Business Central is the general ledger and operations system behind it. We help you draw that line. So you keep one clean set of books and avoid a costly second billing system. Also, we draw the line between the two systems with your team. That way, nobody enters the same sale twice.

How do we track equipment left at customer sites?

In Business Central for telecommunications, keep it in stock at a location that stands for customer sites. Put the serial number on each unit. Or capitalize it as a fixed asset if your policy needs that. So both ways give a list of what is where. Also, both help you recover units when service ends. We also add a regular check that compares the field list with the warehouse. Then missing units show up early, before a customer notices.

Can Business Central for telecommunications report on broadband grant spending?

Yes. In Business Central for telecommunications, a dimension for the grant program and another for the project area apply to purchase lines, time and journals. Reports then total eligible costs by category for each claim period. The source documents stay attached to the posted entries. So the grantor's auditors can follow the trail. We also keep each claim package in one place. That way, a grant audit takes far less effort from your team.

Does it integrate with Dynamics 365 Field Service?

Yes. Microsoft gives you an integration. It shares customers, items, service resources and work order use between Field Service and Business Central through Dataverse. We set it up. Then we decide which system owns each record. Then we test the full cycle from work order to posted invoice. Also, we test the link with real work orders from your own technicians. So you see the result before go-live.

What about telecom taxes and regulatory fees?

Communications taxes vary by place and service type. Standard sales tax setup is not built for them. So we suggest you calculate them in the billing platform or a tax service. Then you post the collected amounts to liability accounts by area. That keeps your tax filings clean. We also set up a simple tax check each filing period. Then your finance lead can compare the billing platform totals with the ledger.
