How we set up Business Central for software companies with recurring revenue

Business Central for software companies has to do three things well. It must bill subscriptions on time. It must spread that revenue across the period it covers. And it must report across entities as the firm grows. We set up recurring billing, deferrals and group reports for SaaS and license vendors. We also link the CRM and payment tools your finance team already uses.

Deferred revenue in Business Central for software companies

An annual subscription billed up front is not income on the invoice date. Deferral templates post the invoice to a deferred revenue account. Then they release it period by period on a schedule. Finance sees the deferral balance on the balance sheet. The income statement shows the amount earned.

Contracts that bundle licenses, onboarding and support need more thought. Each part may be recognized in a different way. So we set up items and deferral templates for each part. Then one invoice splits the right way. We also point out where your auditors' policy needs a judgment the system cannot make.

🔁Recurring billing

Subscription and usage billing

Microsoft's Subscription Billing app holds customer contracts. It tracks start dates, terms, renewal rules and price changes. Then it builds the invoices for each billing run. It suits vendors with a manageable number of contracts who want billing and the ledger in one system.

Usage-based pricing adds a step. Metered quantities must arrive from your product before the invoice can be built. So we bring in usage data through the API or a scheduled file. Then we match it to the contract line. Very high-volume consumer billing is usually better left in a billing platform.

🌐Group finance

Multi-entity and multi-currency as you expand

Software vendors often open a second legal entity early. It may be a sales office abroad or a development arm. Each entity is a company in Business Central with its own local currency. Intercompany postings carry recharges between them. Then the consolidation feature builds group figures with elimination entries.

We handle foreign currency billing with currency codes on the customer. Exchange rates update from a rate service. Revaluation at period end posts unrealized gains and losses. So receivables in euros or pounds show correctly in the books of the entity that holds them.

Connecting Business Central for software companies to CRM and payments

A deal won in the CRM should become a customer and a contract in finance. Nobody should retype it. Business Central connects to Dynamics 365 Sales through Dataverse. We also build API links for Salesforce or HubSpot. So sales and finance work from the same account record.

Card and direct debit collections usually run through a payment provider. We bring settlement files into the payment journal. So receipts apply to invoices by themselves. Provider fees post to their own account. Expense tools and payroll feed the ledger through journals on a schedule.

🎯Board reporting

Metrics investors and boards ask for

Recurring revenue, churn, expansion and cash runway do not sit on a standard income statement. We model them in Power BI from contract and ledger data. Dimensions cover product line, region and customer segment. So the board pack refreshes from the books. It no longer comes from a hand-built workbook.

Spending by department against budget matters just as much. In most software firms, payroll and cloud hosting dominate costs. We load budgets by dimension. Purchase approvals route by amount and department. Then department heads see actual against plan without asking finance.

Questions

Business Central for software companies: buyer questions

Is Business Central for software companies suitable for a SaaS business?

Yes, for SaaS vendors that need sound accounting, deferrals, multi-entity reports and contract billing. It suits them less when they bill very large numbers of small consumer subscriptions. In that case, a billing platform that feeds summary entries into the ledger works better. We help you choose the split that fits.

How does Business Central recognize subscription revenue?

It uses deferral templates. The invoice posts to a deferred revenue account. Then scheduled entries move the amount to income across the service period. You can see the schedule on each posted document. So the balance is easy to explain to auditors. Also, finance can check any month in a few clicks.

Can Business Central for software companies calculate recurring revenue and churn?

The ledger holds the data. The figures come from reporting. Microsoft's Subscription Billing app includes analysis of contract revenue. Then we extend it in Power BI with the churn and expansion terms your board uses. So the numbers match your own definitions, not a stock template.

Do software companies need Premium or Essentials?

Software companies nearly always need Essentials only. Premium adds manufacturing and service management. A software vendor rarely uses those unless it also ships hardware or runs field service. So we check the license mix against your real processes. Then you pay only for what your people use.

Can it handle sales tax on software and digital services?

Business Central has tax areas and tax groups for sales tax. Rules for software differ by place. So most vendors that sell across many states add a tax connector. It finds the rate and taxability for each sale. We set that up and test it. Then your finance team can trust the tax on each invoice.
