Business Central for financial services: corporate books and group entities

Business Central for financial services firms is the corporate accounting system. It is not the system that runs client money. Advisers, lenders, agencies, fund managers and brokers use it for the ledger, payables, budgets and reports. Loan, policy and portfolio platforms stay in place. They feed summary postings into it.

🏦What it covers

What Business Central for financial services does and does not do

So it is worth being exact about the boundary. However, Business Central keeps the firm's own books. That means revenue, operating costs, payroll journals, fixed assets, leases, bank accounts and tax. It does not work out loan interest schedules. Nor does it run insurance policies, set a fund's net asset value or hold client custody records.

Those jobs belong to the platform you already run. So our work is to agree what the platform sends to the ledger. We also agree how detailed it is and how often it comes. Finance can then close the books from one place. Staff can still trace a balance back to the source system.

🧮Group accounting

Group entities in Business Central for financial services

Financial groups often multiply their legal entities. There may be a holding company, a management company and regulated subsidiaries. Each is a company in Business Central. Intercompany journals carry shared costs and fees between them, with matching entries on both sides.

At period end, the consolidation company pulls the entities together. Then it translates foreign currency balances where needed and applies eliminations. Dimensions for branch and product give the management view without more accounts. So the chart stays short, because a new accountant has to learn it fast. This also keeps Business Central for financial services simple to run.

🔐Audit readiness

Approvals, permissions and a trail auditors can follow

Because of that, regulated firms must show who did what. Approval workflows send invoices, payments and journals to the right signer by amount. The posted entry records the user and time. Permission sets also split the person who adds a vendor from the person who pays one.

The change log can also track edits to sensitive fields, such as vendor bank details and posting setup. You cannot edit posted ledger entries, but you can reverse them. That gives auditors a clean trail. So we set these controls to match your own policies. Your compliance team decides whether they meet the rules.

Bringing loan, policy and portfolio data into Business Central for financial services

The specialist platform usually produces a daily or monthly accounting extract. We load it through the Business Central APIs or a journal import. We map it to accounts and dimensions. The system checks a control total before posting. A failed file stops and alerts someone. It never posts half a day.

However, summary level is nearly always right. The ledger needs interest by product and branch, not by borrower. Instead, detail stays in the source. A reference on each journal line lets finance drill back. Bank feeds also bring statement lines in on their own, for matching against those postings.

Board packs, budgets and cost allocation

Financial reports in Business Central for financial services are built from account and dimension rows. So a profit and loss by branch or product line is a layout, not a project. Budgets sit by dimension and compare with actuals in the same report. Power BI then adds trend views for partners and the board. For example, a partner can see how a branch has moved over the year.

Also, you can spread shared costs, such as technology and premises, across business units. You use allocation accounts or recurring journals with ratios that you maintain. That gives each unit a fully loaded result every month. Nobody needs a side spreadsheet that only one person understands.

Questions

Questions on Business Central for financial services

Can Business Central replace our loan or policy system?

No, and we would not suggest it. Those systems handle calculations and client records. An accounting product does not. Business Central replaces the general ledger and the back-office finance tools around them. It then takes accounting entries from the specialist system through an integration. Finance still closes the books from one place.

Is Business Central suitable for a registered investment adviser?

For the adviser's own corporate accounting, yes. Fee revenue, expenses, entities and partner reporting are well within the standard product. Client portfolio accounting and performance reporting stay in your portfolio platform. Fee billing totals then come across as journals. So the firm's books stay tidy, and client data stays in the system built to hold it.

How is access to financial data restricted?

Users sign in with Microsoft Entra ID. So multi-factor sign-in and conditional access follow your existing policies. Inside Business Central, permission sets limit what a person can see or post. You can also split duties, so no single person can both create and pay a vendor.

Does Business Central handle fund accounting for investment funds?

It can keep a fund's general ledger as its own company, with capital accounts as equity accounts. Investor allocations, waterfalls and capital call notices are not standard features. Firms with many investors usually keep a fund administration tool. They then post summaries to the ledger. We help you draw that line before the build starts.

Where is the data stored in the cloud version?

Business Central online runs in Microsoft data centers. You choose the region when you create the environment. Microsoft publishes its compliance documentation for the service. Your compliance team should check that material against your rules. Then they can decide, with the facts in hand, whether the cloud version suits you.
