How to use assisted setup in Business Central

Assisted setup in Business Central is a page of step-by-step guides that set up common features for you. They range from company details and email to approval workflows and data migration. Each guide asks a few questions and fills in the setup pages behind it. It is a quick way to get a feature working, if you know what it sets and what it leaves alone.

🧙The page

What assisted setup in Business Central is

Search for Assisted Setup, and you see a list of guides grouped by area. Each one has a status that shows whether you finished it. Choosing one opens a wizard with Back and Next buttons. When you finish, Business Central has written values into the same setup tables that an administrator would otherwise fill by hand.

The list is not fixed. Microsoft adds guides with new release waves, and installed extensions can add their own. So a tenant with a payment or shipping app shows extra entries. A new company also shows a checklist on the role center. It points to the most useful guides for getting started.

The assisted setup guides worth running first

In a fresh company, begin with the company setup guide. It records name, address, logo, bank details and fiscal year. Next, run the email guide, so you can send documents from Business Central. Then use the user guide, which adds people from Microsoft 365 with the right licenses.

After those, the choice depends on the business. Common picks are the guides for US sales tax, cash flow forecasting, the Outlook add-in and approval workflows. The data migration guide brings in customers, vendors, items and balances from supported systems or Excel templates. It deserves a trial run in a sandbox first.

Where the wizards stop

A guide covers the typical case. It will not design your chart of accounts or decide your dimensions. It will not build posting groups around your reporting, or choose a costing method for each item. Those are choices about how the business wants to run and report. No wizard can make them for you.

Guides also assume a clean start. Running one over a company with careful setup may overwrite values. So read each screen before you choose Finish. For anything structural, the Manual Setup page lists the setup pages directly. Configuration packages then let you load and compare setup in bulk.

How to work with assisted setup in Business Central

Try each guide in a sandbox before production. A sandbox copy of your company shows exactly which fields the guide changes. You can then judge whether the result suits you. It costs only a little time. It also avoids surprises, such as a workflow that starts emailing approvers before you are ready.

Keep a short log of which guides ran, who ran them and which answers they gave. Setup knowledge tends to live in one person's head. So that log becomes valuable when you add a second company later, or when an auditor asks how you set up a control.

When a consultant adds value

Plenty of small companies get a working system from the guides alone, and we are glad when they do. Outside help pays off when you have stock with real costing needs, several entities or links to other systems. It also helps when data from an older ERP needs cleaning before you load it.

In those cases, we use the guides for what they do well and design the rest with you. That means a fit-gap session, a configuration workbook, trial migrations and user training. Have you started alone and doubt that the base is sound? Then a health check of the setup is a sensible next step.

Questions

Assisted setup in Business Central: what people ask

Where do I find assisted setup in Business Central?

Choose the search icon, type Assisted Setup and open the page. You can also reach it from the settings menu on the role center. A newly created company also shows a checklist on the home page that links to the key guides. So you can usually start within a minute of signing in.

Can I run an assisted setup guide more than once?

Yes. Most guides can open again and run again, and they update the values they manage. Be careful in a live company, because a second run may replace settings that someone adjusted by hand. Check the affected setup page afterward. When in doubt, repeat the run in a sandbox first and compare the pages.

Is assisted setup enough to go live?

For a very simple company, it can be. Most businesses also need choices that no wizard covers, such as posting groups, dimensions, number series and opening balances. Treat assisted setup in Business Central as a fast start for single features, not a full implementation plan. We can help you build the plan around it.

What is the difference between assisted setup and manual setup?

Assisted setup walks you through a wizard and fills in several fields at once. Manual setup is a list of the setup pages, where you enter values directly. Both write to the same tables. So pick the wizard for speed and the manual pages for control. Many consultants use both on the same project.

Does assisted setup migrate data from QuickBooks or Dynamics GP?

The data migration guide supports bringing master data and balances from certain sources and from Excel templates. The cloud migration tool handles Dynamics GP and NAV. We confirm the current options before we plan a move. That way, you know early which route fits your source system and your data.
